that's not my job

how do i politely tell someone that what they are asking me to do is not my job?

a manager, who is in a different city, is asking me to send a sympathy card on her behalf.

i send sympathy cards on my boss's behalf, only.

i've had issues with this manager before. she has asked many times for me to take care of things for her office... again, which do not fall under my job description. all seven other managers do these things for themselves... even the manager whose office my desk is in.

Re: that's not my job

Does she have an assistant or a person who has your job description (as in does what you do for your boss) working for her?

Re: that's not my job

Personally I would just do it. I might say something like it's a one time thing, and I really don't do it, but I'll help you out this time.

I feel like it can't hurt if it's not something that will get me in trouble, so why not help out?

I would probably do it but let the person know that this is no my job and you will do it this but it will be the last time you will do it.

Re: that's not my job

Since you mentioned that this is a recurring problem, and not a one-time occurrence, I would word it along the lines of "My manager doesn't want me taking on tasks like this for other managers."
Let the managers figure out if you should take care of it or not. That's their job...

Re: that's not my job

Really, she is too busy to write out a sympathy card? Chat Icon Don't even send one if you can't write it out yourself, is this for someone at work or personal related?

I would say that I am busy and won't be able to do it an tell my boss.

Or do it and then tell my boss, I did it this once but I don't want this to be a habit.

To be honest if it was me; I would probably do the first one, because once you do something it automatically becomes a line in your job description.

This is one of the many reasons why I hate ppl.....Either she thinks she is too good to do this on her own or she clearly takes advantage of the kindness of ppl when they help you out once. Help does NOT mean do and all the time mind you!

Re: that's not my job

thanks for the replies.

i'm going to tell her that sympathy cards are time sensitive and i am busy this week... which i am. there is a week-long specialist meeting that i'm "hosting."

i'm going t add that the precedent has been that each manager sends their own card because it's more personal and it allows them to have the team sign the card as well... JUST LIKE MANAGER X DID LAST WEEK WHEN AN EMPLOYEE LOST HIS WIFE TO CANCER.

i will be as polite and professional as i can.

Totally agree.

Someone is soooo special and busy they cant even fill out their own sympathy card?!

I worked in the city as an intern and the main boss asked his secretary to go heat his soup up in the microwave. And she did. I wanted to yell you can't heat up your own ******* soup???!!!!!

I wouldn't include the last line in caps.. not sure if you were just stressing a point. I would also tell your manager so he knows. Just in case she goes to him and complains.

she copied my boss in her request. i copied him in my reply... another reason i was as sweet as pie when i turned her down.

Insane when I hear that people still get coffee and do stuff like that. So out dated and old school. especially with all this mobile ordering and delivery services we have. Get your own damn coffee.

I managed a big team, have a family and was able to get my own coffee. lol

I might be in the minority but I would have probably just done it, especially if my boss was cc'd. I would have wanted my boss to see that i go above and beyond when asked. That attitude has served me well over the course of my career.

I mean, I get my boss' tea on Fridays (another secretary that works M-Th gets it those days). I don't think it's rude. It is what it is.

But where does it end? Until you are doing tons of things out of the scope of your job.
Usually instead of getting praise, promotions and raises the people that go above and beyond just get MORE WORK.

I go above and beyond, I am also a very hard worker. But I go above and beyond for tasks/projects that are helping the company or team. Something that showcases my skills and knowledge, at the same time helping improve efficiency. Writing out a damn sympathy card does nothing but help a lazy person who doesn't want to do it or thinks they are too good for such a task. Just my opinion.

While I don't think this is rude, I think this is a very outdated work task and tradition.

Are you buying tea from starbucks or like putting a tea bag into hot water? Two very different things imo. Getting a tea or coffee from the store is one thing but they cant put a tea bag in hot water? mo that would be ridiculous. You are an assistant not a minion. Once again JMO.

I can see doing it as being helpful..helping a friend/co-worker out but no one should be-little anyone - I dont care what your position or title is. I would always be the first jump in and go the extra mile and I have no problem with that but ppl that feel like they're entitled - Oh that makes me so mad!

Yep. Are their legs broken that they can't walk to the kitchen to make tea? Arms broken? Are they blind or disabled?
If not- get your own damn drinks.
You are NOT their maid or personal servant.
Do they need someone to wipe their ass too?
That is insane.

Exactly. I think it's because this manager has a history. Now if someone needed help to get a gift or card, whether it was the CEO or Office Manager - I would help out.

I mean I once bought Halloween cupcakes for our office party because the Office Manager couldn't find good affordable ones and I live right next to a Walmart.

Nope. I do not order it, I make it in the Keurig, add honey and good to go.

It's part of my job, I am not disrespectful about things that other people do as part of their job that I don't agree with, and there are plenty.

I am treated VERY well at my job, both in regards to pay and perks. I have a lot of things going for me that other working moms do not, so if it means I make tea ONE day a week, who am I to complain?

I know.. I wouldn't even go to a store. You can literally order Starbucks from your phone and then go pick it up.

I love the President and Co-founder of the company I work for. He is the type of guy that would get you a coffee. The other day he was fixing our coffee maker in the office.
